    2. Information we collect

The information we receive depends on how you interact with us.

Contact and business information. Your name, company name, email address, telephone number, and information included in inquiries or correspondence.

Estimate and project information. Requested services, project location, number of elevations or plans, timelines, budget range, design requirements, and additional notes.

Project files. Plans, surveys, CAD files, PDFs, photographs, reference images, ZIP files, and other project documentation. These files may contain personal information, including names, property addresses, signatures, photographs, or embedded metadata. Please provide only information necessary for your project and ensure you are authorized to provide information about other people. Do not include identification documents, account passwords, or unrelated sensitive personal information.

Client and transaction records. Contracts, billing contact details, billing addresses, invoices, payment confirmations, project correspondence, and delivery records.

Technical information. Our website infrastructure and service providers may process information such as your IP address, browser and device information, pages requested, referring pages, timestamps, and security or error logs to deliver, maintain, and protect the website.

We receive information directly from you and, where relevant, from your company or an authorized project representative. Technical information is generated through your interaction with our website and its infrastructure.

    3. How we use information

    We use personal information to:

    • Respond to inquiries, discuss project requirements, and prepare estimates.
    • Manage client relationships and provide, revise, deliver, and support our services.
    • Communicate about projects, scheduling, invoices, and payments.
    • Maintain client and project records in our customer relationship management platform, GoHighLevel.
    • Support project production and related work using the business and API-based AI tools described below.
    • Operate, troubleshoot, and secure our website and business systems.
    • Send marketing communications, if offered, where permitted by law and consistent with your choices.
    • Comply with legal obligations, resolve disputes, and establish or defend legal claims.

Required fields are identified on the relevant form. If you do not provide information necessary to respond to an inquiry or perform a service, we may be unable to fulfill your request. Optional information is voluntary.

Providing your contact details for a project does not, by itself, constitute consent to unrelated marketing where separate consent is required. You may opt out of marketing emails through the unsubscribe instructions in the message or by contacting us. Project-related, billing, and other necessary service communications may continue.

    4. Online payments

Payments are collected online through third-party payment processors, such as Stripe. When you make a payment, the processor receives the payment information needed to complete the transaction and may process information for fraud prevention, security, and legal compliance.

We may receive transaction confirmations, payment status, billing details, and limited payment-method information needed to administer your account and resolve payment issues. Payment information handled by a processor is also subject to that provider’s applicable privacy policy and terms.

For information about Stripe’s practices, visit https://stripe.com/privacy.

    5. Cookies and analytics

Our website and its infrastructure may use cookies or similar technologies to support site functionality, security, and performance. You can manage or delete cookies through your browser settings. Restricting certain technologies may affect website functionality.

Google Analytics is planned but is not currently implemented. If we introduce it, we will update this policy to describe the information collected, how it is used, and the relevant choices. We will implement any legally required notices, consent, or opt-out controls before enabling the relevant collection. This policy does not represent consent to future analytics tracking.

We do not currently provide a dedicated cookie-preferences link. For questions about website privacy, contact info@northstarpixel.com.

    6. Disclosure of information

We do not sell personal information or share it for targeted advertising, including cross-context behavioral advertising.

We may disclose information for the business purposes described in this policy to:

    • Operational service providers: Providers supporting website hosting, communications, file storage, customer relationship management, and related functions, including GoHighLevel.
    • Payment processors: Providers such as Stripe that process online payments and support related transaction services.
    • AI service providers: OpenAI and Anthropic through the business or API services described in Section 7.
    • Authorized project participants: Your representatives and personnel assisting with your project, subject to the access limitations described in Section 8.
    • Professional advisers and authorities: Accountants, lawyers, insurers, courts, regulators, or law enforcement where disclosure is reasonably necessary for professional advice, compliance with law, or protection of legal rights.
    • Business successors: Parties involved in a merger, acquisition, reorganization, or transfer of our business, where necessary and subject to applicable confidentiality and legal requirements.

These operational disclosures are distinct from selling personal information or sharing it for targeted advertising.

    7. Use of generative AI tools

We may use ChatGPT through business accounts or the OpenAI API, and Claude through business accounts or the Anthropic API, to assist with project production and related business work.

Information submitted to these tools may include project materials and client personal information where relevant to the task. The provider processes submitted information under the terms, data-handling provisions, and settings applicable to the business account or API service used.

Business and API services have their own retention, security, and data-use rules. Using these services does not mean submitted information is immediately deleted or that no processing records are retained. We do not promise zero retention by these providers.

Please contact us before providing materials if your project requires specific restrictions on AI-assisted processing. Any agreed restriction should be documented in the applicable project agreement.

    Provider information is available at:

    8. Project confidentiality and processing locations

We operate a US-based business serving US clients. We also work with employees in the Philippines who perform project production work. We provide them with the project materials needed to perform that work, rather than client contact or account information.

Project materials can themselves contain identifying information, such as a property address, name, signature, or file metadata. To the extent identifying information remains in materials used for production, it may be accessible to the personnel working on those materials in the Philippines. Please avoid including unnecessary personal information in files you submit.

Our third-party providers process information under their applicable service arrangements. We do not represent that every provider’s processing, support activity, or storage occurs exclusively in the United States.

Permission to publish project images or client details in our portfolio is governed by the applicable project agreement or a separate authorization. This Privacy Policy does not itself grant that permission.

Where we process personal information solely on a business client’s instructions, our handling of that information is also governed by the relevant service agreement. If a client provided your information to us in that capacity, you may direct your request to that client, and we will assist as required by applicable law and our agreement.

    9. Retention and deletion

We maintain inquiry, client, and project records in GoHighLevel. Our current practice is to retain those records indefinitely, without a scheduled automatic deletion date, unless you request deletion or applicable law requires earlier deletion. This allows us to maintain relationship history, respond to follow-up requests, and keep records of prior projects and transactions.

You may request deletion by emailing info@northstarpixel.com. We will process your request subject to identity verification and applicable legal exceptions. We may retain information needed for accounting or tax obligations, outstanding transactions, dispute resolution, fraud prevention, or the establishment or defense of legal claims. We may also retain limited suppression records to respect marketing opt-outs.

This retention practice does not override any applicable legal requirement to limit retention. Where the law requires a shorter retention period or deletion without a request, that requirement takes precedence.

We do not create separate backups of the records we maintain in GoHighLevel. GoHighLevel and other providers may maintain their own backups, logs, or recovery copies under their service arrangements. Deletion from active records may therefore not immediately remove every provider-held backup or legally required record. Payment processors and AI providers also apply their own relevant retention terms.

    10. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, alteration, or disclosure. No website, electronic transmission, or storage system can be guaranteed completely secure.

If you believe information you provided to us has been compromised, contact info@northstarpixel.com promptly.

    11. Your choices and privacy rights

You may contact us to request access to, correction of, or deletion of personal information we hold about you. Depending on your state of residence and whether the relevant law applies to our activities, you may also have rights to:

    • Obtain information about the categories and specific pieces of personal information collected, its sources, purposes, and recipients.
    • Receive a copy of certain personal information in a portable format.
    • Opt out of sales, sharing for targeted advertising, or certain profiling, where those activities occur.
    • Limit certain uses or disclosures of sensitive personal information.
    • Appeal a decision concerning a privacy request.

We do not sell personal information or share it for targeted advertising, as explained in Section 6. We will honor any opt-out preference signal to the extent required by applicable law. Browser privacy signals do not themselves submit an access, correction, or deletion request; please contact us for those requests.

To make a request, email info@northstarpixel.com, call +1 (978) 543-1849, or write to the mailing address in Section 1. Describe the request and provide enough information for us to locate the relevant records. We may take proportionate steps to verify your identity or an authorized agent’s authority before disclosing or changing personal information.

We respond within applicable legal deadlines and explain any lawful refusal. If you have a right to appeal, reply to our decision or email us with the subject line “Privacy Request Appeal.” We will not unlawfully discriminate against you for exercising privacy rights.

    12. Children’s privacy

Our services are directed to businesses and adult professionals and are not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action, including deletion where required.

    13. Third-party websites and services

Our website may contain links to third-party websites or services. Their handling of personal information is governed by their own privacy policies and applicable agreements. Review those policies before providing personal information directly to them.

    14. Changes to this policy

We may update this Privacy Policy to reflect changes in our practices, services, or legal requirements. We will post the revised policy on this page and update the “Last updated” date. Where required by law, we will provide additional notice or obtain consent before applying a material change.

An update to this policy does not, by itself, authorize a new use of information where further permission is legally required.
